Branch Customer Experience Officer at World Vision Kenya

Job Description

Purpose of the Position

The BCEO plays a critical support role in ensuring seamless branch operations, compliance, and superior customer experience. The role bridges operational efficiency with customer satisfaction by ensuring accuracy in processing, compliance with internal controls, and timely resolution of customer queries.

Key Responsibilities

Customer Service & Experience (25%)

  • Deliver timely, professional, and courteous service to all clients.
  • Maintain the Customer Complaint Register and ensure all complaints are resolved within agreed TATs.
  • Manage refunds, dormant accounts reconciliation, and support loan payoff and closure simulations.

  • Manage the branch license renewals, CRB/spin checks, and security documentation (titles/logbooks).
  • Oversee the archiving, filing, and scanning of all critical documents, including chattels and insurance documents.
  • Coordinate with audit teams to close audit issues within 30 days and prevent repeat findings.

Business Efficiency & Turnaround Time (20%)

  • Track and report on TAT for all customer transactions, refunds, and claims.
  • Monitor and report on service bottlenecks, proposing solutions to improve turnaround.
  • Ensure all dispatches, reports, and communication to HQ are accurate and submitted on time.
  • Support the branch in achieving zero pending reconciliations (floats, dormant accounts, refunds).

Financial & Kiva Reporting (10%)

  • Support Kiva fundraising activities and publishing, ensuring all required data is accurate and timely.
  • Assist in preparing branch-level reports, including offsets, write-offs, and amendments of repeat clients.
  • Manage reconciliation and submission of monthly Kiva reports and other donor-related data.

Risk, Safeguarding & Compliance (10%)

  • Champion safeguarding standards within the branch by maintaining confidentiality of client and staff information.
  • Monitor branch insurance claims and ensure timely submission and follow-up.
  • Support in fraud prevention by maintaining strong internal controls and promptly reporting anomalies.

People Support & Coordination (10%)

  • Coordinate onboarding of new staff and facilitate orientation at branch level.
  • Act as a communication link between HQ and the branch to ensure proper flow of information.
  • Take minutes during branch meetings and maintain key branch documentation.

Key Responsibilities:

The purpose of the Marketing and Fundraising intern is to support the growth and sustainability of Bold Hope for Children Initiative by through marketing, communications, sponsorship drives, and resource mobilisation activities. The Branch manager shall take the leadership role at the Branch and mentor the Branch staff towards the achievement of VFK’s Mission, Vision, and Strategic Objectives.   • Bachelor’s degree in international development, Communications, Social Sciences or other related discipline.

Required Professional Experience

  • 7+ years of experience working in the field of accountability and transparency, or related disciplines. 
  • Ability to build and maintain effective working relationships with a diverse group of stakeholders, including senior leaders in many contexts.  
  • In depth understanding of emerging accountability and governance issues, trends, and challenges relevant to the International NGO sector.
  • Demonstrated ability to communicate effectively and persuasively in a wide range of contexts – from leadership to community – both within and outside the non-profit sector and to manage multiple stakeholders and cross functional project groups or teams.
  • Understanding of the regulatory environment for not-for-profit organizations, especially on transparency, anticorruption and PSEA.
  • Comfortable working cross-culturally with field offices and local staff in developing country contexts.

Senior Manager, Impact Communications at World Vision Kenya

Job Purpose:

Reporting to the Global Director, Corporate Communications, this senior manager oversees a team working to raise World Vision’s brand—via media relations, on digital channels, and at key events—as an industry leader whose best-practice and life-changing programming brings about life in all its fullness for vulnerable children in the most challenging contexts.

Key Responsibilities:

  • Ensure that team members work effectively; individually but also as a unit, and that the efforts and impact of the teamwork is monitored and reported on.

Boosting brand and reputation, positioning the organisation and SMEs for income growth and policy change

  • Amplify the organisation’s programming and policy evidence of impact, policy insight, and thought leadership to priority audiences, at the global level and beyond
  • Encourage and support the organisation’s best SMEs/leaders to develop as thought leaders and to raise their profile externally – all in support of key thematic areas

Supporting the organisation’s engagement with priority partners to achieve common goals

  • Undertake communications work that enables or that directly supports staff to collaborate with priority partners, e.g. produce videos with joint branding

Ensuring the production of engaging, high quality, brand aligned content

Gather and analyse data-driven insight into the impact of brand-building communications

  • All engagement with the communications products and other activities will be tracked using data gathered from media, social media and surveys
  • Contribute to Global Marketing and Communications engagement efforts that build team unity, collaboration and trust.

Required qualifications:

  • A Masters degree in English, Journalism, Communications, a related field, or equivalent experience.
  • Twelve years’ experience in communications or public policy/advocacy fields, ideally with experience of working in a not-for-profit.
  • Seven years’ experience managing staff in person and/or remote, preferably in a range of countries and cultures.
  • Exceptional command of written English, grammar, syntax, and style. With the proven ability to edit complex, technical, or sensitive content into accessible and engaging language. Professional fluency.
  • Experience of commissioning and/or producing a range of communication products, all aligned to brand and to deadline.
  • Familiarity with a range of communications KPIs and metrics, and software used to monitor and report on them.
  • Strong project/time management skills with the ability to manage multiple priorities under deadlines.
  • Comfortable working in a fully remote, digital environment.
  • Ability to travel to/within domestically and internationally as needed, though likely no more than 5-10% annually
  • Work hours can occasionally be in excess of 12 hours per day during difficult periods
  • Given the international nature of the organisation, the senior manager will need to be willing to work out of regular working hours when required

Job Responsibilities:

Strategy and Planning

  • Develop and implement the project area security and safety response plan in alignment with WV security policy so as to ensure the operational priorities of the project area are appropriately supported.
  • Ensure Security Risk Assessments, Country Risk Ratings and Core Security Requirement standards, processes and procedures for the project area are completed in accordance with the current Office of Security, Safety and Resilience (SSR) guidelines and training.

Security Operations  

  • Lead all security and safety operations within the project area.
  • Work with the Roving Field Security Officer (RFSO) to carry out Security Risk Assessments as required/directed.
  • Country Risk Ratings for the project area are established and updated as required
  • Ensure Core Security Requirements for the project area are implemented in line with Country Risk Ratings
  • Provide input and support to management in crisis situations and critical incidents
  • Conduct security investigations when required.

Networking and External Liaison/Engagement

  • Represent WV Kenya at local NGO security network meetings within the project area and ensure information from these groups is disseminated to relevant staff in a timely manner.

  • Build ongoing networks for sharing security information and coordination.

Capacity Building and Technical Training

  • Coordinate routine security briefing for staff and visitors to the project area and conduct regular security training in liaison with the RFSO, for the project staff based on local security risk assessments.
  • Seek to develop a culture of security awareness and monitor staff compliance.

Reporting and Documentation

  • Provide regular security reports to the Project leadership team, the region and the Security, Safety and Resilience office.

Quality Project implementation
