Finance Officer at NairoBits Trust
What You Will Do
- Finance
& Accounting
- Maintain
general ledger integrity through journal entries, reconciliations, and
monthly/year-end closures.
- Prepare
monthly financial reports, bank reconciliations, and cash flow
projections.
- Manage
accounts payable and receivable, including invoicing follow-up and
supplier payments.
- Ensure
all expenditures align with approved project budgets and are fully
supported by documentation.
- Process
payments, bank transfers, and payroll transactions.
- Ensure
statutory compliance including PAYE, NSSF, and NHIF.
- Prepare
and support internal and external financial audits and ensure follow-up on
audit findings.
- Update
the Executive Director on financial performance and risks.

& Donor Finance Management
- Support
programme teams in reviewing budgets for grantees and subcontractors.
- Track
donor-funded project expenditures and ensure compliance with donor rules.
- Prepare
donor financial reports in required formats and timelines.
- Administration
& Human Resources
- Maintain
accurate, confidential, and up-to-date employee records.
- Coordinate
recruitment administration, including interview scheduling and contract
documentation.
- Manage
onboarding and offboarding processes, including inductions and clearance.
- Administer
leave management and maintain attendance and leave trackers.
- Support
payroll administration by maintaining staff master data and payroll
inputs.
- Maintain
HR compliance documentation and calendars.
- Coordinate
staff training logistics and maintain training records.
- Support
performance management cycles and HR policy documentation.
- Provide
HR administrative support and escalate sensitive issues appropriately.
Qualifications & Experience
- Bachelor’s
degree in Commerce, Accounting, Business Administration, or equivalent.
- CPA or
ACCA Part II qualification.
- Minimum
of five (5) years’ experience in a similar role within the NGO sector.
- Experience
managing donor-funded projects.
- Strong
analytical, reporting, and problem-solving skills.
- Proficiency
in QuickBooks, Microsoft Excel, and MS Office.
- Familiarity
with Kenyan tax and labour regulations.
- High
integrity, attention to detail, and ability to meet tight deadlines.
- Excellent
communication skills in English and Kiswahili.

Monitoring, Evaluation & Learning (MEL) Associate at NairoBits Trust
Roles and responsibilities
- Cross-Functional
Monitoring and Evaluation
- Support
the design and execution of monitoring and evaluation systems and tools
for the ongoing implementation of the organization’s projects.
- Work
together with the Head of Programmes & Partnership Manager to
facilitate/support staff in the revision of training/project-specific work
plans, strategies, and frameworks to ensure success of the organization’s
Programs.
- Work
with respective staff and project teams to design and implement
information and data management frameworks and systems to ensure proper
and accurate collection of performance data from the various projects,
including data capture, analysis, utilization, and archiving.

- Data
Collection and Reporting
- Support
regular data collection by ensuring all points of contact/field
staff/trainers are clear on deadlines and reporting requirements.
- Support
the project teams in preparing project reports as per the donor/project
requirements, including responding to data audits and inquiries from the
donor and various project stakeholders.
- Compilation
of appropriate and disaggregated data and support the writing of narrative
reports for various project submissions, impact reports, donor reports,
and other briefings and/or policy documents as required.
- Support
implementation of baseline and other organizational surveys, such as
mid-term and end-of-project reviews for SISTECH and other Programmes.
- Strategic
MEAL Support and Risk Management
- Ensure
the continuous and on-demand harmonization of monitoring and evaluation
plans, tools and techniques with the respective projects and global
monitoring and evaluation systems and tools.
- Support
the capacity building of project teams and other staff and assist them in
utilizing and maintaining the applicable data and information systems
effectively. This includes planning and conducting training and mentorship
sessions and evaluation of workshops.
- Working
with the Head of Programmes, supporting the comprehensive
multidisciplinary Sistech Program and organizational Risk Management and
maintaining the overall risk register for strategic decision-making and
knowledge management.
- Executive
and Business Development Support
- Build
and maintain positive relationships with all members of staff and contacts
within and outside the organization.
- Contribute
to the quality assurance of Risk Management, Log-frames, and M&E Plans
in proposals.
- Support
the Executive Director and Head of Programmes by giving timely and
accurate input in donor communiques to ensure programmatic compliance, in
conjunction with Administration and Finance departments.
Qualifications & Experience
- A
verifiable diploma/degree course or equivalent in Monitoring Evaluation,
Statistics, or any Social Sciences field.
- 3+
years of working experience with an NGO, CBO, or Community involvement in
a similar capacity.
- Knowledge
of Project Management and Fundraising/ resource mobilization will be a
considerable incentive.
- Outstanding
creativity, innovation, and strategic thinking.
- Detail-oriented,
time management, and self-organization abilities.
- Exceptional
oral and written communication and interpersonal skills.
- Integrity,
professional discretion, and ability to handle confidential matters.
- Strong
