Job Description:
- Maintain
a disciplined Executive office calendar that protects strategic focus time
and ensures all weekly, monthly, quarterly and ad hoc business reviews
take place on schedule.
- Support
the Executive in reviewing reports from departmental heads and other teams
by checking completeness, consistency, supporting evidence, action
ownership and follow-up status.
- Maintain
an action tracker covering assignments to departmental heads and other
relevant managers.
- Coordinate
timely closure of critical issues touching on Executive office.
- Capture
management meeting issues affecting core business and convert them into
clear action logs with owners.
- Ensure
the Executive’s weekly and monthly business packs are ready,
evidence-based and linked to departmental BSCs, KPIs and risk trackers.
- Improve
communication flow, confidentiality, document control and executive-office
discipline.
Requirements:
- At
least 5 years of experience supporting senior executives, preferably in
petroleum, energy, logistics, FMCG, trading, finance, manufacturing or a
multi-branch operating environment.
- Strong
proficiency in Microsoft Office, especially Outlook/Calendar, Excel, Word
and PowerPoint; experience with ERP/CRM dashboards is an added advantage.
- Experience
maintaining action trackers, minutes, management reports, confidential
records and senior-executive correspondence.
- Exposure
to BSC/KPI tracking, sales reporting, credit/collections follow-up,
supply-chain reporting or management-accounting packs is an added
advantage.
Academic qualifications:
- Bachelors

- Design
and maintain a single data source for the Enterprise Resource Planning
system, Customer Relationship Management platform, supply?chain portals,
sales route?plan systems and HR records
- Systematically
collect and analyze external data to supplement internal data
- Collaborate
with IT to develop automated data pipelines, implement validation rules
and maintain documentation for all data sources and transformations
- Use
demand forecasts to calculate optimal nomination volumes for OTS imports
- Monitor
daily available storage space at KPC and private depots and issue
evacuation alerts to logistics and sales teams when capacity is reached
- Produce
weekly reports on non?compliant customers, days products stay in pipeline
per customer, payment timelines versus order booking, cancelled or edited
orders, and evacuation efficiency for Kenya, Uganda and private depots
- Track
Platts indices, import trends and competitor pricing in collaboration with
the costing team
- Build
dynamic models to forecast daily cash requirements for tax and duty
payments, OTS settlements and operational expenses
- Monitor
foreign?exchange exposure and assess the profit?and?loss impact of
exchange rate volatility
- Maintain
a risk register for supply, logistics, financial and regulatory risks
- Develop
interactive dashboards in Power BI, Tableau or similar tools that
provide real?time visibility into liquidity, sales performance, stock days
cover, depot congestion and operational efficiency
- Prepare
comprehensive monthly business review packs, investment proposals and
strategic decision summaries
