About this role

Support the Audio-Visual Department in planning, coordinating and executing multimedia productions across Willow Health Media's programmes, podcasts, social media platforms, website and special projects. The Production Assistant provides administrative, logistical and production support throughout the production cycle from pre-production to post-production, to ensure projects are delivered efficiently on schedule and in accordance with editorial, technical and brand standards. Duties and Responsibilities 1. Production Coordination a) Assist in coordinating day-to-day production activities across multiple projects. b) Support the scheduling of shoots, interviews, production meetings and production timelines. c) Prepare production schedules, call sheets, shot lists and other production documentation. d) Coordinate communication between journalists, editors, audio & video editors, graphic designers and other stakeholders. e) Track project progress and provide regular updates to the Multimedia Production Manager. 2. Pre-Production Support a) Conduct background research and gather production materials required for assigned projects. b) Prepare release forms, consent forms, interview schedules, and other production paperwork. c) Coordinate logistics, including transport, accommodation, filming permits and location arrangements where required. d) Ensure production equipment is prepared, tested and available before filming. e) Confirm interview appointments and maintain communication with contributors, guests and partners. f) Ensure all audio complies with broadcast quality standards, optimising files for streaming on various platforms. 3. Production Support a ) Provide on-site support during studio and field productions. b) Assist with the setup, operation, and set down of production equipment. c) Coordinate presenters/hosts, guests, contributors and production crew during filming. d) Monitor production schedules and resolve minor logistical issues during shoots. e) Maintain accurate production records and documentation throughout filming. 4. Post-Production Support a) Organise and catalogue footage, photographs, audio files, graphics and other production assets. b) Ensure proper file naming, transfer, backup and archiving of production materials. c) Monitor editing progress and coordinate internal review sessions. d) Prepare production notes, edit logs and supporting documentation for editors. e) Assist in preparing subtitle files, thumbnails, metadata and publishing assets for digital platforms. 5. Administrative Support a) Maintain production calendars, project trackers and content schedules. b) Organise production documents, contracts, invoices, approvals and related records. c) Assist in coordinating freelancers, suppliers, service providers and production vendors. d) Support budget monitoring by recording production expenses and maintaining expenditure records. e) Prepare meeting minutes, action points, production reports and follow-up documentation. 6. Requirements

  • Bachelor's Degree in Film Production, Media Studies, Communications, Journalism, or related field with at least one-year relevant experience post-internship.
  • Diploma or certificate in Film Production, Media Studies, Communications, Journalism, or related field with at least 2 years relevant experience post-internship.
  • Experience supporting field productions and coordinating multiple production activities will be an added advantage.
  • Experience working with NGOs, in health journalism, development organisations, or media organisations is desirable.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Good organisational, documentation, and record-keeping skills.
  • Familiarity with digital asset management systems and cloud-based storage platforms.
