Description
As Project Manager Digitalization, you are responsible for
planning, coordinating, and delivering key digitalization initiatives across
Airflo’s entities. Positioned at the tactical level, your role ensures that
cross-functional digital projects, ranging from system implementations to
process automation and data-driven initiatives, are executed in line with
strategic goals, delivered on time, and provide measurable value. As one of our
major projects matures and stabilizes, your scope will increasingly span across
multiple transformation workstreams and initiatives, coordinating across
business domains, geographies, and stakeholders. You act as a key player,
ensuring clarity, focus, and accountability across the digitalization roadmap.
Requirements
Project Management
- Coordinate
and manage multiple digitalization initiatives, ensuring delivery
according to timelines, scope, and budget.
- Translate
strategic goals into detailed project and workstream plans, clearly
defining milestones, deliverables, and dependencies.
- Monitor
progress and adjust plans as needed in response to evolving priorities,
scope changes, or risks.
- Ensure
governance and structure are in place to track progress across initiatives
(e.g. planning tools, reporting cadences, logs).
Stakeholder Management & Communication
- Maintain
strong communication across all entities and business functions.
- Act as
the central point of contact between the digitalization team, business
owners, IT/data teams, and external partners.
- Communicate
project status, blockers, and success metrics to leadership, workstream
owners, and project contributors.
- Address
resistance to change and support adoption by promoting transparency,
clarity, and shared goals.
Resource & Delivery Coordination
- Coordinate
internal and external resources to ensure the right expertise and capacity
is aligned across initiatives.
- Define
and track scope, roles, and responsibilities in each project or
workstream.
- Track
and manage budgets, supplier performance, and deliverables.
Continuous Improvement
- Conduct
post-initiative reviews and collect feedback to improve future
digitalization rollouts.
- Identify
opportunities for improved collaboration, better use of tooling, and more
effective project execution methods.
- Support
the refinement of project methodologies to better suit digital and
cross-border transformations.
Educational background / Work experience
- Bachelor
of Business Information Technology, Business Administration, or
equivalent.
- A
strong interest and understanding of logistics information systems and
technology.
- 3-5
years’ experience in similar role, ideally with digital transformation
projects, preferably in the logistics / freight forwarding sector.
- Formal
project management methodology knowledge (e.g. PMP, Prince2, Agile) is a
plus.
- Profound
knowledge of MS-Office products (Word, Excel, Outlook, PowerPoint)
- CargoWise
certified “Operator-level” is a plus
- Familiarity
with digital systems in logistics, such as CargoWise or comparable TMS.
Documentation Supervisor at Airflo Limited
Description
- Plan
and manage team schedules to ensure full coverage across all shifts.
- Monitor
team productivity on a daily, weekly, and monthly basis across various
documentation sections, with a focus on HAWB processing, ULD buildup,
follow-ups on E-DOCs, DDT/SFDs, HCDs, C17s, PHYTOs, COEs, withdrawals,
transfers, prior releases, and document dispatch.
- Coordinate
with Operations to confirm shipment deliveries, plant health inspection
status, and QC status, and prioritize tasks to ensure timely and efficient
documentation processing.
- Oversee
the accuracy of all shipment documentation throughout each stage from
cargo acceptance, inspection, and approval, buildup, generation of HAWBs,
manifesting, and generation of MAWBs.
- Verify
that flight documentation (MAWBs, manifests, and weight dockets) matches
the actual pallet/ULD weights, and communicate discrepancies with
Operations, airlines, or GHAs to ensure timely resolution.
- Ensure
all required payments are made promptly and recorded in C1 to prevent
customs-related shipment delays.
- Maintain
organized filing of documents by market, ensuring easy retrieval in case
of client claims.
- Confirm
the daily shipment numbers align with bookings in CW1 and raise concerns
with B&P and OKAM if that is not the case.
- Validate
that the documentation received corresponds with the operations’ build-up
progress, which in turn translates to smooth clearance at destinations.
- Promptly
flag and communicate any discrepancies between documents and shipments to
the appropriate stakeholders.
- Improve
file turnaround times back to farms by allocating sufficient workforce for
Blue Folders Management.
- Oversee
effective document archiving and records management for compliance and
traceability.
Requirements
- Experience
communicating in diverse cultural or work environments preferred.
- Fluent
in both written and spoken English and Kiswahili.
- Must
be comfortable explaining complex technical & procedural requirements
in straightforward language
- Degree
in Export Documentation or any other related field.
- Possession
of a higher National Diploma in IATA Forwarding and Customer Relations
course will be an added advantage.
- Hands-on
experience of at least 2 (two) years and above.
- Profound
knowledge of MS-Office products (Word, Excel, Outlook).
- Experience
with CargoWise or a similar TMS will be an advantage.
