Main Purpose
Supporting the Medical Coordinator through delegated tasks
and responsibilities including defining, leading and coordinating the entire

Accountabilities
- Supporting
the Medical Coordinator in defining, monitoring and updating the medical
content of the MSF country policy and annual plan, by scanning health
needs and translating them into objectives, priorities and resources
needed in order to cover medical and humanitarian needs of the population
at risk.
- At the
request of the Medical Coordinator, representing MSF before third parties
concerning medical issues, ensuring its good public image and the
alignment with the mission interests, through regular contacts with other
actors in the country, negotiating with authorities when necessary, and
informing on MSF values and principles.
- Participating
and contributing in the definition and update of the country policy,
annual plan and budgets in order to develop the projects and programmes
aimed at addressing humanitarian issues at stake ensuring its efficiency
and quality (i.e. monitoring the project implementation, assisting the
project medical referent and the medical teams in drafting the project
proposal and follow up, identifying priority needs, other potential areas
of action and emergency situations and collaborating and assisting in the
production of medical reports).

training and motivating the teams in the mission in order to align all
field staff with MSF values and ethics and ensuring their capability to
carry out their job achieving MSF quality standards (i.e. induction,
briefing/debriefing, training, potential detection, evaluation).
- Collaborating
with the logistics department and according to project needs, in the
pharmacy management in order to ensure enough and quality supply of drugs
and medical material (i.e. Participating in review of medical orders and
monitoring of medicines consumption and stock levels of the different
projects).
- Assisting
in defining and implementing the staff health and security policies for
international and national staff in order to ensure their overall safety
(i.e. monitoring both physical and mental health of staff, promotes
compliance of all related protocols and procedures and collaborates in the
update of issues regarding the security context).
- Ensuring
the Medical Coordination in the Mission and fully assuming the Medical
Coordinator’s tasks and responsibilities in case of absence/gaps
Specific Accountabilities
- Review
project medical strategy and specific department strategy documents
including medical protocols/guidelines and give appropriate feedback to
the team after the validation of the medical coordinator.
- Analyze
project indicators quarterly through DHIS2 and SITREPs and plan specific
support to the projects based on evidence/needs driven by data to ensure
that the right decisions are made at the right time.
- Review
annual and mid-year reports for the mission and projects and update the
medical components of the reports in collaboration with PMRs and Medco.
- Participate
and contribute to mission Plan of actions (POA), Mid-year reviews and
other strategic mission activities.
- Supporting
the medical team at coordination and projects to develop objectives and
strategies for medical activities and monitor progress based on POA/MYR
approved activities.
- Conduct
Field visits and support monitoring of medical activities.
- Provide
support to teams in the implementation and monitoring of the roadmap to
enhance the quality of care, with particular focus on the Dagahaley
project.
- Ensure
regular follow-up of PSI reporting and audits across both projects, with a
view to strengthening the quality of activities through systematic review
of reports and close monitoring of the implementation of recommendations/
feedback
- Actively
participate in the implementation and monitoring of the new Mombasa
project cycle
- Ensure,
as part of the EPREP response and in coordination with the MEDCO, an
appropriate response aligned with the defined thresholds, based on the
continuous monitoring of epidemiological and medical surveillance data.

medical lead in initial phase of Explos, develop intervention concept
notes/proposal and set up new activities as agreed by the mission.
- In
charge of delivering medical briefings outlining the objectives and
activities of the project.

Rationale/Objective for Position
The Travel and Administration Officer is responsible for
coordinating the MSF EA office and intersection cross administration and travel
tasks and ensuring effective and efficient administrative services for all
areas related to staff movement and transit management at the Eastern Africa
Office. This position will be hierarchically and functionally accountable to
the Travel & Administration Unit Lead.
Tasks & Responsibilities
Administrative processes & support
- In
collaboration and support from the Travel & Administration unit lead,
initiate and draft a travel and movement policy and ensure implementation
on the same.
- Serve
as the focal point for all travel and movement-related matters for the
Eastern Africa Office staff regarding non-Kenyan staff administration,
providing support on visa processing and administrative procedures for
staff deploying to the field.
- Ensure
proactive, effective communication and good collaborations with the
Regional Protocol office (RPO).
- Ensure
accurate and updated information for travel through the EAS travel tool,
or local external service providers. Link with the MSF Sections and OC
travel focal points for specific travel requirements.
- Initiate
the processing and follow up of Work Permit/Passes/Cards for all
Non-Kenyan employees based in the Eastern Africa (EA) office.
- Provide
administrative support for any medical interventions in Nairobi and the
region with the support of the staff Health care officer and other
colleagues involved.
- In
close coordination with the other Travel & Administration Officers,
actively and timely preparation, and updating of weekly and monthly
reports for the Travel Unit, ensuring that all travel-related activities,
movements, and key data are consistently tracked and well-documented.
- Respond
to teams regarding potential incidences, validity of travel fares,
business trips in collaboration with the travel agent.
- Review
of local accommodation and hotel requirements with the support of the
Finance/facilities to ensure specification of administrative needs are
considered.

clear communication regarding administrative requirements for travel
(visas), and together with Staff Health officer, relevant vaccines and
checkup.
- Coordinate
preparation of administrative documents for work permit and follow up with
the protocol/regional representative’s office.

Pharmacy Manager, MSF Dagahaley Project. This position is only open to Kenyan
nationals.
Main purpose
Ensuring general functioning of the pharmacy and supervising
pharmacy supply chain processes in accordance with MSF standards, protocols and
procedures, in order to ensure its efficiency and operating availability.
Accountabilities
- Ensuring
storage, stock management and supply processes, as well as hygiene and
security procedures, tools, and protocols (controlling pests and rodents),
implementing appropriate quality controls and records, in order to ensure
good storage conditions (temperatures, humidity and light exposure) and
availability of drugs and medical material, according to MSF protocols,
national regulations and in cooperation with the logistics department.
- Coordinating
the delivery, reception and recording of international and local orders,
in close coordination with the logistics department, updating stock files
and informing line managers on their status (shortfalls, over-stocking,
expiry dates), in order to permanently ensure security stock levels and
ensure efficient management of stock.
- Supervising
orders of medical and drug material in order to ensure an efficient and
appropriate consumption pattern under budget constraints.
- Supervising
the supply of drugs to patients, according to medical prescriptions,
informing them on consumption patterns and keeping conditions in order to
ensure their therapeutic progression

efficient supply to other pharmacies managed/supported by MSF according to
orders and stocks and using cold chain when needed. Monitoring and
analysing orders of depending pharmacies in order to avoid ruptures of

with the HR department, the associated processes (sizing, staff shifts,
recruitment, training, performance evaluation, development and
internal/external communication) of the pharmaceutical team and the
nursing staff, in order to ensure both the sizing and the amount of

consumptions and medical equipment dispensed according to protocols,
informing on unusual patterns as well as forecasting future needs, in

Human Resources and Administration Officer
Rationale/Objective for Position
We are seeking a detail-oriented and highly organized Human
Resources Officer (HRO) to take the lead in managing physical personnel files,
electronic records, and the Human Resources Information System (HRIS). This
role is central to maintaining accurate, complete, and up-to-date staff
documentation, ensuring compliance with internal standards and external
requirements. The ideal candidate will bring a strong commitment to data
integrity and confidentiality, with a proactive approach to identifying and closing
any gaps in our records management systems.
As the custodian of HR documentation, the HRO will be
responsible for systematically organizing, updating, and verifying staff files
across all platforms. This includes ensuring that no critical documents are
missing, regularly auditing file contents, and working collaboratively with
other HR team members to improve filing processes.
In addition to file and records management, the HRO will
support a broad range of HR functions. These may include assisting with
recruitment processes, onboarding and offboarding activities, supporting
employee relations and compliance tracking, preparing reports, payroll
preparation and data accuracy, and contributing to the development and
implementation of HR policies and procedures.
This position will be hierarchically and functionally
accountable to the Office Human Resources and Administration Manager.
Deputy Supply Chain Coordinator
Main Purpose
Supporting the Supply Chain Coordinator through delegated
tasks and responsibilities, replacing him/her in his/her absence in
coordinating the supply chain activities in the mission and participating and
collaborating in the implementation of strategies and support to the field in
accordance with MSF protocols, standards and procedures in order to enable the
development of the mission and optimize the impact of the medical projects
Interim Head of Fundraising (Maternity Cover)
Rationale/Objective for Position
The Head of Fundraising is responsible for creating and implementing a comprehensive fundraising programme at MSF EA and inspiring current donors, prospects, and supporters to contribute funds to the organization. This position will be hierarchically and functionally accountable to the Director of Communications and Fundraising.

Clinical Officer Anaesthetist Pool
Main purpose
Organizing and ensuring medical consultations to the target
population providing treatment to patients within the scope of his/her medical
competencies and referring them when appropriate, according to MSF protocols,
procedures and the universal hygiene standards in order to guarantee quality
and efficiency of the service provided.
