Job Purpose
Responsible for facilitating admissions and enrollment of
students by verifying student admission records, registration and reporting.
Key Duties and Responsibilities:
- Attend
to applicants’ and students’ inquiries (emails, walk- Ins, telephone).
- Receive
and process applications for admission of new students.
- Support
the international students in the application process.
- Verify
applicants’ documentation for admission.
- Verify
that all required materials for the application have been completed by the
student.
- Key
and manage student personal and demographic information on the student
management system.
- Register
new students.
- Report
progress towards enrolment plan goals and consult with relevant
stakeholders to modify the plan as required.
- Receive
and process student suspensions/ probations according to the University
guidelines.
- Administer
readmission of deferred students and students from suspension.
- Complete
student enrolment requests by verifying payment invoices and against
finance account.
- Process
student requests- change of mode of study, directed studies, deferments,
add /drop of units.
- Preparation
of class and examination timetables.
- Allocate
and ensure classroom and space availability.
- Populate
the student management system with unit offerings per semester.
- Maintain
an updated master schedule of unit offerings.
- Work
with the human capital department to update faculty biodata in the student
management system.
- Process
and issue student ID cards.
- Prepare
enrollment reports as required by stakeholders.
- Maintain
updated students’ enrollment dashboard.
- Maintain
updated student status on the student management system.
Academic and Professional Requirements:
- Bachelor’s
degree in a relevant field
- Minimum
of two (2) year of relevant work experience
- Proficiency
in the French language is an added advantage

ADMINISTRATIVE ASSISTANT, EXAMINATIONS (1 Post) – JOB

Job Purpose
Responsible for supporting the examination process by
updating students’ records, supporting in arranging examination logistics, and
duplication.
Key Duties and Responsibilities:
- Provide
support in the process of preparing and publishing trimester grades-point
average, academic standing and other percentages to students including the
identification of academic high achievers.
- Maintain
an updated student grade information in the student records database.
- Collect
and organise information from faculty on the marking and grading of
student examinations.
- Process
information for the timely posting of grades. Provide information for
students’ grade related enquiries.
- Pass
on information to students and faculty staff on approved examination
timetable. Update changes on the examination dates as appropriate.
- Provide
support in the pre-moderation and quality review process before confirming
readiness of the exam. Collect and organise amendments.
- Provide
support in the process of coordinating student examination process by
receiving exam question papers, marking schemes and course outlines.
- Maintain
latest exam scripts securely and identify scripts in need of disposal as
per the disposal policy.
- Arrange
necessary infrastructure and logistics for conducting the exam including
venue, exam monitor etc.
- Provide
the necessary support for the coordination of the secure production and
packaging of examination papers based on student numbers.
- Verify
the list of graduating candidates and non-qualifying graduating candidates
with respective schools.
- Monitor
and update the requirements for programmes and identify graduating
candidates.
- Coordinate
the production of diploma’s and degrees for the graduating students.
- Participate
in preparation of graduation guidelines for students; receive and process
graduation application forms.
- Facilitate
the process of acquisition of academic attire for graduation ceremony.
Issue to graduating students/ faculty and ensure their safe return.
- Receive
student requests for transcript and process the requests on time.

Job Purpose:
Responsible for supporting business decision making and
planning by providing timely, accurate, relevant and sound financial analysis.
Key Duties and Responsibilities:
- Analyse
business operations, trends, costs, revenues, financial commitments,
obligations, cashflows, and related financial information to project/
forecast future revenues and expenses or to provide advice. Provide input
in business planning and decision-making
- Prepare
financial or regulatory reports required by laws, donors, regulations, or
other relevant bodies
- Evaluate
the company’s performance using key data and metrics. Carry out continuous
reviews of working accounting practices and processes to ensure efficient
and cost effective operation
- Support
production of financial statements including profit and loss accounts,
budgets, cash flows, monthly management accounts, variance analysis and
commentaries
- Perform
cost-benefit analyses to compare operating programs, review financial
requests, or explore alternative financing methods. Conduct project
appraisal, evaluation and post-implementation analysis
- Analyse
and classify investments to determine their potential benefits and impacts
on the University
- Provide
data analysis and forecasts in line with admissions and enrolments

- Monitor
bank balances, forecast cash flows to ensure sufficient short term funds
for the University’s activities.

Customer Service/Enquiries Assistant
Job Purpose:
- Responsible
for managing the customer service desk and call center for the University.
This involves handling enquiries, providing information, resolving
complaints, and ensuring customer satisfaction.
- You
will also responsible for cold calling prospective students through
telemarketing activities and providing information that can help
prospective students confidently make an application and subsequently
enroll to the University.
Key Duties and Responsibilities:
- Handle
enquiries, resolve complaints, and provide pertinent information to
internal stakeholders as and when necessary
- Keep
up to date information and maintain a proper filling system on customer
interactions, recording details of enquiries, complaints, or comments, as
well as actions taken
- Record
customer personal information accurately in the ANU customer relationship
management (CRM) system. Maintain a database and records of all customer
accounts
- Handling
telephone complaints, settle disputes, resolve grievances and follow up on
resolutions to safeguard the university’s corporate reputation
- Escalate
unresolved customer grievances and or complaints to the Head of Department
for further investigation
- Create
a summary of enquiries, ensuring all customer details are documented.
Liaise with social media officer, marketing officer, digital marketing
officer and admissions office to consolidate the monthly enrollment funnel
report
- Developing
of tele-marketing strategies and delivering of scripted tele-marketing
pitches to prospective students
- Answer
telephone calls from potential students approached through advertising and
promotions initiatives
- Contributes
to the development of the university’s marketing communications campaigns
- Support
marketing change plans and the implementation of change
- Reach
out to potential students through telemarketing and present our program
offerings to help meet departmental enrollment targets
- Generate
quality student leads through telemarketing for the admissions team to
assess prospective students’ academic standing and acceptance criteria to
the university
- Submit
weekly and monthly reports to the Head of Department that will include but
not limited to customer complaints resolved, call center leads and
telemarketing opportunities created, answering percentage (number of
program inquiries answered/total number of tele-marketing calls made)
among other KPIs
Academic and Professional Requirements:
- Bachelor’s
degree in Business Administration, Marketing, Communication or Public
