Position Summary and Responsibilities:

  • Demand Planning:
    • Analyze parts usage data and on-the-ground feedback from operational teams to continually optimize stock re-order threshold levels. 
    • Monitor on-hand stock data against stock re-order thresholds.
    • Updating OEM part numbers in the company’s platforms
  • Ordering & Monitoring
    • Draft Purchase Orders in company’s CRM for standard replenishment and ad-hoc procurement.
    • Monitor items ordered and flag delays in sourcing
    • Draft feedback reports for suppliers on outstanding items and account credits
  • Researching New Suppliers and Products
    • Support in visiting new potential vendors and researching new potential brands for parts.
  • Supporting HoD and team on assorted daily tasks, as needed

Responsibilities

Billing & Job Card Management

  • Ensure all job cards are accurately costed, correctly classified (billable vs non-billable), and supported by proper documentation.
  • Ensure timely billing in line with agreed service-level timelines.
  • Verify billing accuracy, including labor hours, parts usage, and service descriptions.
  • Work closely with Service Leads and Technicians to resolve job card discrepancies before invoicing.
  • Engage external customers and SACCO’s to clarify billing queries, service charges, or invoice disputes.
  • Support Finance with accurate data for invoice generation and reconciliation.
  • Track and report on billing errors, delays, and rework, and drive corrective actions.

Warranty Management

  • Owns the end-to-end management of warranty cases, from incident logging to claim closure.
  • Submits and tracks warranty claims with OEMs, including approvals, rejections, and pending cases.
  • Coordinates repair scheduling, parts replacement, and logistics for warranty-related issues.
  • Supports service teams with diagnostics, root cause analysis, and technical incident reporting.
  • Monitors warranty performance through dashboards, turnaround times, and aging analysis.
  • Identifies recurring warranty issues and escalates trends to Engineering and OEMs.
  • Prepares regular warranty performance and cost reports for management.

About the Role:

The Talent Acquisition Specialist will play a key role in attracting and hiring talented people who will drive BasiGo’s mission forward. You will support recruitment for roles across all departments, including technical, operations, and corporate, while ensuring a strong candidate experience, compelling employer brand, and scalable talent acquisition processes. This role reports directly to the Head of People and offers significant growth opportunities as BasiGo continues to scale.

Roles and Responsibilities:

1. Talent Acquisition & Pipeline Building

  • Manage and lead the end-to-end recruitment cycle for Kenya & Rwanda roles, from requisition to offer stage.
  • Draft, refine, and maintain compelling job descriptions that reflect BasiGo’s mission and culture.
  • Source, screen, shortlist, and interview candidates across departments and levels (technical, operational, corporate).
  • Build talent pipelines for critical and future roles while hiring for immediate needs.
  • Coordinate assessments, interviews, and feedback loops with hiring managers.

  • Train, coach, and support hiring managers on best-practice recruitment, including interviewing techniques, competency-based assessment, role scoping, writing effective JDs, and delivering a strong candidate experience.
  • Develop recruitment toolkits and training materials (interview guides, scoring rubrics, question banks, decision-making frameworks) to ensure consistency and fairness across all hiring teams.
  • Partner with managers to strengthen their interviewing confidence and judgment, ensuring they are equipped to assess not only skills, but also values alignment and long-term potential.

5. Recruitment Metrics & Reporting

  • Track and analyze recruitment KPIs (time-to-fill, pipeline conversion, cost per hire, candidate experience ratings, etc.).
  • Provide hiring updates and data-driven insights to the People Team and hiring managers.
  • Recommend improvements to hiring processes based on data and market trends.

Our Ideal Candidate:

Education:

  • Bachelor’s degree in Human Resources, Business Administration, Psychology, Communications, or related field.

Experience:

  • 4–5 years of experience in recruitment or talent acquisition, ideally in a fast-growing organization or start-up environment.

 Key Responsibilities:

Leadership & Shift Lead Supervision

  • Oversee execution of all maintenance and repair activities across shifts, ensuring work is planned, monitored, and completed efficiently.

  • Plan and schedule all preventive and corrective maintenance based on odometer readings, mileage intervals, and OEM requirements.
  • Generate weekly and monthly bus maintenance rosters.
  • Collaborate with Shift Leads to allocate technicians and resources appropriately.
  • Ensure maintenance activities are completed on time while protecting fleet uptime targets.

Job Card Coordination and Completion

  • Ensure job cards are accurately initiated and assigned for all repair and maintenance tasks.
  • Track job card progress, ensure timely closure, and reconcile technician hours and parts usage.
  • Ensure all quality checks are completed before job cards are resolved and  vehicles are sent back in operation.

Reporting and Communication

  • Prepare and distribute regular reports to internal teams and bus operators on:
    • Technical fleet performance
    • Scheduled maintenance timelines
    • Major repairs, repeat faults, and incident resolutions
  • Communicate proactively with operators regarding upcoming service schedules, repair delays, or technical advice.

Experience & Qualifications

  • Bachelor’s degree in Engineering, Automotive Technology, Operations Management, or related field.
  • Minimum 3-5 years in service management, automotive maintenance, fleet operations, or EV service environments.
