ActionAid International Kenya has a presence in 25 counties in Kenya. The
organization is seeking to hire a Temporary HR Assistant.
Period: 6months
Role Overview
Under the direct supervision of the HROD Manager, the Human
resources Assistant is the focal person providing administrative support on all
HR functions. The Human Resources Assistant will assist in the Human Resources
activities including recruitment and orientation, personnel files, staff
benefits and payroll.
Key Accountabilities / Responsibilities:
- Under
supervision of the HROD Manager, managing personal files in order to
ensure accuracy, compliance and on-time payments.
- Assist
in general with human resource activities for employees (job adverts,
interviews, recruitment, contracts, personnel files, payroll and
benefits).
- Ensure
the updating of staff data in the HRIS software
- Ensure
all staff have ID Cards and maintain a tracking sheet of same.
- Maintain
and update tracking sheets for all staff related benefits, vacation and
sick leave, performance evaluation and annual increases, orientation,
employment contracts, etc
- Updating
the HR database and personal files to facilitate HR processes management.
- Ensure
all staff have employment contracts in conformity with legal requirements
including specific amendments, when necessary, to ensure local labour and
law compliance.
- Preparing
relevant documents for all staff, editing and updating the necessary data,
to ensure the punctuality and accuracy of staff payroll.
- Following
up of all expiring service level agreements and inform the HROD Manager to
leave enough time to arrange a renewal or look for some other alternative.
- Making
all administrative information available to the staff (postings, meetings,
etc.), supporting the HROD Manager in preparing documents and assisting in
meetings upon request.
- Additional
HR/ Admin tasks delegated.
Person Specification:
- Bachelor’s
degree in human resources, social sciences, business administration or
related.
- Previous
experience working with an international NGO in a cross-cultural setting,
is an added advantage
- Previous
team experience and knowledge of team dynamics desirable
- Knowledge
of HR functions (pay & benefits, recruitment, training &
development etc.)
- Understanding
of labor laws and disciplinary procedures
- Proficiency
in MS Office; knowledge of HRIS is a plus.

Human Resources Manager
The Human Resources Manager aids with and facilitates the
human resources processes at AAIK and will administer employee-related support
plans and act as liaison between employees and relevant service providers in
collaboration with the Executive Director. The role holder will ensure that
actions within the unit are taken in accordance with AAIK Human Resources
Manual and prevailing pieces of legislation in Kenya. The role holder will
oversee the provision of essential services and hosting agreements between
AAIK, employees and stakeholders. The role will provide administrative support
on human resources functions as needed including record keeping and maintenance
of the HRIS entries.
Fundraising Coordinator – Corporates, Trust and Foundation
The job holder will be responsible for devising and
implementing a successful programme of fundraising from the corporate, trusts
and foundations sector to an agreed annual target. This will include securing
charity support, sponsorship of conferences and events and products and general
donations. The job holder will work with the Fundraising and IPD Lead to
develop a framework around new business, and ultimately, grow corporates,
trusts and foundations income by building on existing relationships and creating
new opportunities. The role holder will proactively cultivate and approach new
high-level trust prospects. We are seeking a great relationship-builder, keen
to be out meeting with existing and prospective corporates, trusts and
foundations through collaborative approaches. The post holder will also have
the opportunity to get involved across a range of activities, including event
design and delivery, donor trips and cross-organizational projects
Coordinator – Board Liaison and Executive Support
The job holder shall coordinate and support the office of
the Executive Director and Senior Management Team to work closely with the
Chair of the Board, Board, and the Board committees, to maintain AAIK’s
external reputation as being a well governed organisation. S/he will support
the Executive Director’s office to deliver on its mandate
